Bills Inbox

The Bills page is a free inbox for invoices that other Plirin merchants have sent to your email address. If a supplier, landlord or contractor invoices you through Plirin, their bills collect in one place instead of being scattered across your email. It is open to every account, on every plan. You do not need to send an invoice yourself to use it.

A bill shows up in your inbox only when all of these are true:

  • Your account’s email address is verified.
  • The bill was sent to that same email address. Capital letters do not matter, so Alice@Example.com and alice@example.com are the same address.
  • You have accepted the sender (see below).
  • The bill is a live invoice that has been sent. Drafts never appear, and neither do test-mode invoices.
  • The sender is someone else. Invoices you send to yourself are not shown.

Only the main customer email on a bill counts. Being copied on an invoice (CC) does not put it in your inbox, and a team member’s own login email never matches: the inbox belongs to the business account, and it matches the email on that account.

When you accept a sender, you see all of that sender’s bills to your email, including ones sent before you joined Plirin.

The first time a Plirin merchant bills your email, they appear at the top of the Bills page as a card: “Acme Co wants to send you bills”, with the number of bills waiting. If the sender has a KYB-verified legal name, that name leads and their trading name is shown beneath it, so a look-alike display name cannot pass for a company you trust.

  • Accept reveals that sender’s bills and keeps showing their future ones automatically.
  • Block hides that sender’s bills and removes the card. The sender is never told they were blocked.

Until you decide, the sender’s bills stay hidden. Only your answer is stored: Plirin works out who is waiting by looking at the bills each time, so opening the inbox never changes anything.

A sender can see that you have accepted them: their Customers page marks you with an In their Plirin inbox badge, and when they remind you about a bill, their confirmation says “They’ll also see it in their Plirin inbox”. The card tells you this before you accept. Neither says anything else, and neither ever reveals a block: a blocked customer looks the same to the sender as one who is not on Plirin.

Both answers are reversible. On the Bills page, Manage senders lists every sender you have accepted or blocked, with their status:

  • Block on an accepted sender hides their bills. Plirin asks you to confirm first, because their bills disappear from the inbox. You can also block a sender from one of their bills, in its row menu or details panel, or several at once from the selection bar.
  • Unblock on a blocked sender accepts them again, and their bills reappear straight away. There is nothing to confirm.

You can do this even if the sender has no bill to show right now. The Sender filter on the Bills page lists the senders you have accepted, whether or not one of their bills is on the page you are looking at.

Saving one of a blocked sender’s bills from its page (see below) also lifts the block.

Each row shows the sender, the invoice number, the day the bill was issued, the bill’s total, with tax and any discount applied (and what remains if it is partly paid), the due date, and the status. Open takes you to the bill’s hosted page, where you can read the full invoice and pay it.

When the sender has sent you a reminder about a bill that is still owed, its row carries a Reminded label with the day, such as “Reminded 11 Oct”, beside the status. The day is on your account’s calendar, like every other date here. The label stays for as long as the bill is owed, so a bill the sender has chased stays marked after you have looked at it. A paid or void bill never carries it. To find the bills that have been chased, use the Reminded toggle (see Searching and filtering).

The due date is the day printed on the bill itself, on the sender’s calendar, so it always matches what the bill says.

You only ever see these fields. Line items, notes, the sender’s other customers and their internal records are not part of the inbox.

Click a row, or press Enter on it, to open the bill’s details panel. It shows:

  • From: the sender, by their KYB-verified legal name where they have one, and their trading name beneath it when that is different
  • the invoice number and the status
  • Total, and Remaining when the bill shows what is left to pay
  • Currency
  • Issued: the day the bill was sent, on your account’s calendar (shown once your account’s time zone has loaded)
  • Due: the due date printed on the bill
  • Last reminder: the day the sender last reminded you about the bill, on your account’s calendar. It only appears for a bill that has been reminded and is still owed.

The panel offers:

  • Pay or view bill opens the bill’s hosted page in a new tab.
  • Copy bill link copies the hosted page’s address.
  • Block sender hides every bill from that sender, after you confirm. The panel closes, and the sender moves to Blocked under Manage senders.
  • Download PDF downloads the bill as a PDF, the same file its hosted page offers.

The ⋯ button at the end of each row opens a menu without opening the details panel:

ActionWhat it does
View detailsOpens the details panel
Pay or view billOpens the bill’s hosted page in a new tab
Download PDFDownloads the bill’s PDF
Copy bill linkCopies the hosted page’s address
Show bills from this senderSets the Sender filter to that sender
Block senderHides every bill from that sender, after you confirm

Tick the box on a row to select it, or tick the box in the header to select every bill on the page. A bar appears at the bottom of the screen with:

  • Export CSV saves the selected bills as a spreadsheet: sender, legal name, invoice number, status, total, remaining, currency, the time the bill was issued (in UTC, such as 2026-09-20T20:00:00Z), due date and the bill’s link. Amounts are written exactly as Plirin holds them, with no rounding. The file is named for the day you saved it, such as bills-2026-10-02.csv, and opens with accented and non-Latin names intact in Excel.
  • Download PDFs downloads one PDF for each selected bill, up to 10 bills at a time. If one cannot be downloaded, Plirin tells you which, and the rest still download. Bill PDFs are limited to 20 a minute, so if you reach that limit, Plirin stops and tells you how many were saved; try the rest a minute later.
  • Block senders blocks every sender among the selected bills. Each sender is blocked once, however many of their bills you selected, and Plirin lists them and asks you to confirm first. If a block is refused, you are told which sender it was.

Changing a filter, the search, the sort, the page or the page size, or blocking a sender, clears the selection, so an action only ever reaches bills you can see. A selection never carries over from one page to the next.

Everything here applies to the bills you already have access to.

Search. The search box above the list matches the sender’s name or legal name, the invoice number and the bill’s description. It ignores capital letters and finds your text anywhere in those fields, so acme, 0012 and rent all work. Results appear shortly after you stop typing.

Status. The segments beside the search box show All, Sent, Overdue, Paid or Void bills. (A bill that is waiting on an in-person payment only shows under All.)

Reminded. The Reminded toggle shows only bills the sender has reminded you about that are still owed. It combines with the status segments: Reminded with Overdue is the list of overdue bills the sender has chased.

More filters sit in a row under the toolbar:

FilterHow it matches
SenderOne of the senders you have accepted
Due from / Due toBills due within the range, inclusive. Both dates are optional
AmountAn exact bill total, such as 1200.50 (tax and any discount included)

Clear filters appears as soon as a search, segment, toggle or filter is set, and again in the “No bills match these filters” message. It puts the list back to everything.

Above the list, four counts summarise the whole inbox. They do not follow your search or filters, so they always describe all your bills:

CountWhat it counts
OpenBills that are sent or overdue
OverdueBills that are overdue
RemindedBills the sender has reminded you about that are still owed (the same bills as the Reminded toggle)
Due in 7 daysSent bills whose due date falls between today and seven days from now, today being the date on your account’s calendar

These are counts, not amounts. Your bills come from different senders in different currencies, and adding them together would print a number that means nothing.

The list shows 10 bills at a time, or 20 if you choose that in the pager. The pager shows “Page X of Y” with First, Previous, Next and Last, and shows how many bills there are in all, even when everything fits on one page. Changing the search, a filter, the sort or the page size takes you back to the first page.

Click a column header to sort by it: Sender (the name as the row shows it, A to Z), Issued, Due and Remaining (the amount still to pay, with the bill’s total beneath it when part of it is paid). Click again to reverse the order. The headers can be used from the keyboard. By default the newest issued bill comes first. Bills with no due date always sort last, whichever way you sort.

The search, the status segment, the Reminded toggle and the sort are kept in the page’s address, so a refresh keeps your view, a link sent to a colleague opens the same one, and the browser’s Back and Forward buttons move between the views you have been on. The page number and the page size are not kept: a refresh starts at the first page.

While a dashboard tab is open and visible, Plirin checks once a minute (and when you return to the tab) for anything new since you last opened the inbox. When something has arrived, a toast appears with the sender, the amount and the due date, with an Open button, and the Bills link in the sidebar shows a count. A new sender gets its own toast, without naming them, since you have not agreed to anything yet.

When a sender reminds you about a bill by email, Plirin shows you the reminder in the inbox too. A reminder counts once its email has gone out, from a sender you have accepted, about a bill that is still owed. It raises the same Bills count as a new bill, and a bill counts once however many times it was sent or reminded. A reminder about a bill you have not looked at yet (already counted as new) adds nothing more.

  • A toast, such as “Reminder from Acme Co, $1,200.00 due 15 Oct 2026”. The amount is what is still owed. The wording is always “due”, even when that date has passed. When several bills arrive or are reminded between two checks, the toast names the most recent one.
  • A strip on the Bills page, “Reminded since you last looked”, listing the reminded bills, up to five names and then “and N more”. Click a name to open that bill’s details. If the bill is not on the page you are looking at, Plirin searches the list for its invoice number (dropping any other filter so nothing hides it) and opens the bill when it turns up. The strip is read before the page marks itself seen and stays for the visit, so you can still find the bills after the count has cleared. Bills that are new to you are not listed there: the new-bill toast already named them.
  • A label and a date on the bill itself: the Reminded label in its row and Last reminder in its details, as described above.

A reminder from a sender you have blocked, or have not yet decided about, counts nothing and shows nothing. A bill that is paid or voided before you look no longer counts as reminded.

Section titled “What the toast’s Open and the sidebar link do”

The toast’s Open button, and the Bills link in the sidebar, take you to the inbox’s default view: the first page, the default sort and no search, filter or toggle, even if you were on Bills with a filter set. This is so that the bill you were told about is never hidden by a view you had set earlier.

“Since you last opened the inbox” is per person: the owner and each team member who can see bills have their own, so one person opening the inbox does not clear the count for another. See Activity badges.

Only the default view clears the count: no search, no filter, no Reminded toggle, the default sort and the first page. Searching, filtering, sorting or paging does not, so a filtered view can never hide a new or reminded bill from the alert. Plirin does not check while the tab is hidden, and a team member who cannot see bills never gets a Bills count. Before you have opened the inbox for the first time, counts start from the release if you were already a member (owner or team member), so your whole history is not announced as news. An owner who had already opened the inbox keeps that earlier time, and a member who joined later counts from when their account was created. The first bill you ever receive does raise a badge.

Reminders sent before this feature was released do not count: only a reminder sent from then on raises the count.

If your account’s email is not verified, the Bills page says so in a notice above the inbox. The owner sees “Verify your email to receive bills sent to it.” with a button to resend the verification email. A team member is told that the account owner needs to verify the account’s email address (named on the page) to receive bills, since only the owner can verify the account’s email.

Bills that were sent to the address before it was verified are still announced once it is: opening Bills while the email is unverified does not count as having looked, so the Bills badge shows them afterwards.

When you open a bill’s hosted page (the link in the invoice email) while signed in, a bill that was sent to your account’s email offers Save to my Plirin inbox. It accepts that sender in one click, the same as pressing Accept on the card. The button only appears on a bill addressed to you, so a sender never sees it on their own bill, and it says before you press it that the sender will see that you use a Plirin inbox.

  • If the bill was sent to a different email than your account’s, saving is refused with “This bill was sent to a different email”, because the inbox could not show it.
  • If your own email is not verified yet, you are asked to verify it first.
  • If you had blocked the sender, saving unblocks them, and the page tells you so.

If you do not have an account, a bill’s page can offer Save to a free Plirin inbox, and invoice emails carry one line pointing to it (“Keep all your bills in one place: open this invoice and save it to a free Plirin inbox.”). It appears only on live bills that have a customer email, and never on test invoices, drafts or payment-link emails.

The sender learns that you use a Plirin inbox once you join this way, and the page says so next to the button. Choosing it emails a sign-up link to the address the bill was sent to; the page says where it went (“We sent a link to n***@example.com. Open it to finish.”) and stays on the bill. Nothing is created until the link is opened. Opening it takes you to sign-up with the email locked: the account is created with the email the bill was sent to, whatever is typed. Because only someone who can read that mailbox has the link, the account is verified straight away and no verification email is sent. The bill’s sender is accepted for you, so the bill is already in your inbox the first time you sign in, and you land on the Bills page rather than the seller dashboard. A Start sending invoices button there opens the normal dashboard whenever you want to send your own invoices.

The sign-up link works once and expires after 7 days. A bill sends at most a few of these emails an hour, however often the button is pressed. If the address already has an account, sign-up tells you to log in instead and saving works through the signed-in flow above. The sign-up link and the invoice email line only appear while Plirin has the invites rollout switched on.

Received bills are a finance matter, so access is by role:

RoleBills inbox
OwnerYes
ManagerYes, including accepting and blocking senders
CashierNo. The Bills link is hidden and the data is refused

Deactivating a staff member removes their access immediately. See Staff Management.

  • Bills are matched on your verified email and your decision. An address shared by several companies, or one that changes hands, cannot expose bills by itself: someone has to accept the sender, and the email has to be verified.
  • Every request is checked on the server. Nothing about your inbox is kept in the browser.
  • Test and live data never cross. Test-mode invoices are never shared between accounts.
  • Senders never see your inbox, your other senders, or whether you blocked them. They see only the In their Plirin inbox badge, and the matching line after a reminder, once you accept. The line appears only for an accepted sender and a verified member of Plirin; for a blocked sender, an undecided one, or someone who is not on Plirin, the sender’s confirmation reads as it always has. Whether you have looked at a reminder, or seen it at all, is never shown to them.
  • The inbox is not available through API keys. It belongs to the signed-in person, so integrations cannot read it or accept senders on your behalf. See Queries.
  • Accepting, blocking and joining from a bill are written to your audit log. Reading the inbox is not.
