Customers
The Customers page provides a central view of everyone you’ve transacted with. Customer records are created automatically when you send an invoice or estimate or receive a payment, and can also be created manually. Every invoice and estimate with a customer or an email is linked to a customer record. A payment made with a wallet still finds its customer by wallet, and links to an existing customer with the same email instead of creating a duplicate.
The same rule applies whenever a wallet arrives with an email: a payment, a CSV import row, upsertCustomer, or POST /api/v1/customers with a wallet_address. If no customer has that wallet but one has that email and no wallet, the wallet is added to that customer. If the email already belongs to a customer with a different wallet, nothing is overwritten: a payment creates a separate wallet-only record, an import skips the row and reports it by row number, upsertCustomer returns the error reason CUSTOMER_EMAIL_TAKEN, and the REST API returns 409 with code customer_email_taken.
Customer information
Section titled “Customer information”Each customer record stores:
- Name: the customer’s display name
- Email: for invoice delivery and communication
- Company and billing address: optional, printed on invoice and estimate PDFs when set
- Wallet address: optional. A client who pays by bank transfer needs only an email
- No late fees: a switch that stops late fees for this customer
- Don’t send scheduled statements: a switch that opts this customer out of scheduled statements
- Transaction history: all payments and invoices associated with them
Creating customers
Section titled “Creating customers”Customers are created in a few ways:
- From an invoice or estimate: type or pick a customer in the builder. Search matches name or email, and Add creates one inline. A bare email is enough: the customer is found or created when you save, and emails that differ only by case are one customer.
- Automatically, when a payment is received: the payer becomes a customer record, keyed by the wallet they paid from. If you attached a name and email when creating the payment or invoice, the new record is created with those details.
- From the payment screen: when creating a payment, click Add customer to record a new customer (name and email) for that transaction. The record is created once the payment is paid.
- Manually: go to Customers and click Add Customer. Add an email or a wallet address, at least one is required
Using customers in invoices
Section titled “Using customers in invoices”When creating an invoice or estimate, search for an existing customer by name or email. Their details auto-fill, saving you time on repeat billing.
Importing and exporting
Section titled “Importing and exporting”CSV import accepts rows without a wallet address as long as they have an email. The optional company_name and late_fees_exempt columns are included in the export and read on import. A row with a wallet joins the existing customer with the same email when that customer has no wallet yet. A row whose email belongs to a customer with a different wallet is skipped and listed in the import warnings, and the other rows are still imported.
Turning off late fees for a customer
Section titled “Turning off late fees for a customer”Switch on No late fees to stop new fees at once. A confirmation offers to also remove the customer’s unpaid fees. Paid fees and fees with a payment in flight are never touched, and switching it back off does not restore removed fees. See Late fees.
Statements
Section titled “Statements”Click a customer, then Statement, to preview, download or email a statement of their account for a period. The Statements sent list in the same profile shows every statement you have emailed them, with its number, period, date and status, and a download icon for the PDF that was sent.
Switch on Don’t send scheduled statements to skip this customer when your scheduled statements go out. You can still send them a statement by hand. Changing it needs the customer.manage permission.
Statements are part of the Growth and Scale plans, and are being rolled out, so they may not be enabled on your account yet. See Customer statements.
The “In their Plirin inbox” badge
Section titled “The “In their Plirin inbox” badge”A customer whose Plirin account has accepted you as a sender in their bills inbox is marked In their Plirin inbox on the Customers page. It means your invoices to their email land in their inbox. It never shows a block: a customer who blocked you looks the same as one who is not on Plirin. The same rule decides whether a reminder you send says “They’ll also see it in their Plirin inbox”.
Viewing customer details
Section titled “Viewing customer details”Click any customer to see their full profile: contact info, all invoices (with statuses), all transactions, and total payment volume.
